Application: Educational Assessment Books and Distribution

A large metropolitan school district project needs to produce annual assessment exams.

The Project.

  • To manage multiple academic subjects
  • Each with numerous versions
  • Each for many classrooms, schools and across several grade levels
  • Individualize each test with a response book
  • Synchronize individual test & response books with the correct classroom, grade level, and school
  • Improve overall deployment accuracy over previous administartions

The Challenge.

The previous process:

  • Contained numerous distribution errors
  • Employed detached and uncoordinated workflows
  • Required enormous time and labor resources.

The Solution.

Develop a high-level, single-stream data feed of school, subject, grade level, classroom, and student information to drive the overall application - which in turn...

  • Created and controlled box labels to identify destination and specific box content.
  • Produced the “master pack-out” sheet for all of the subjects, classrooms, teachers and students.
  • “Bundled each classroom’s student list so that the test and answer booklets were packed as a single unit and clearly marked for final distribution to the appropriate school.
  • District data was processed so that each student was assigned the correct and specific version of one of assessment subjects.
  • Each set of test and answer booklets was produced as a "set" complete with the student name with “OMR” bubbles prefilled to aid in scanning accuracy.
  • Each booklet was serialized and barcoded. Labels, pack sheets, class sheets, booklets were all produced as complete “packages” so the process of boxing all the items remained simple yet highly accurate. (There was no “pick and pack” which is prevalent in other solutions.)

The Logistics:

Over 295,000 booklets, comprising all the criteria above, were all quality-controlled and shrink-wrapped into less than 2000 boxes economically delivered to each of their specific destinations. This was all accomplished in 33 days with just 5 people (2 of them part time!) with zero booklet and pack-out errors.

The Results:

A complete product delivered on time, under budget and exceeding customer expectations.
